Changing compensation for international employees

A step-by-step guide for requesting compensation changes

Overview

Managing compensation changes for international employees is easy. Submit a request from the employee’s profile in Plane, and our Operations team will review and process it. We’ll ensure the request meets local compliance requirements and is applied to the next available pay period. As an admin or manager, you can track the status of your request as it progresses and request follow-up changes if needed.

Note: This feature is being rolled out in phases through November 2024.


Step-by-step Guide

Start the request

From the Compensation tab on the employee’s profile, click the pencil (edit) icon to start your request. Note that in this example, the employee is on a twice-per-month pay schedule.

Enter the new compensation and submit the request

Enter the new amount, when you want the change to happen, and a reason for the change.

You have several options for the “When do you want this change to happen?” dropdown.

The current pay period is determined by the current date. For example, if today is September 17, then the current pay period for this employee is September 16 to September 30. Please see the frequently asked questions section below to understand when and how compensation changes are applied to payroll.

Submit your request to continue.

Monitor and change your request as needed

After submitting your request, you’ll see its status in the compensation section.

Your request will move through a series of statuses:

Immediately after you submit the request, it will remain in a requested status until Plane’s Operations team picks it up. You can edit this request by clicking the pencil (edit) icon and submitting the updated information. You can cancel it by clicking the ‘Cancel request’ button, providing a note, and submitting.

When Plane’s Operations team starts working on this request, the status will become requested change in progress. If you need to make changes to the request, you won’t be able to do that directly. Click the pencil icon and submit notes about what is needed. Plane Support will reach out if additional information is required.

Once Plane’s Operations team approves the request, the status will become compensation changing.

After the new compensation takes effect on the specified date, the status will become compensation changed. This status will be displayed for the next six weeks.

You will receive in-app notifications whenever a requested change moves to in-progress, is approved, or is canceled.


Frequently asked questions

What happens after the compensation change is requested?

Plane will issue a salary change letter to the employee. While the process may vary by country, the compensation change typically takes effect only after the employee acknowledges and signs the letter.

Can reductions to compensation be requested?

Yes, reductions can be requested. Plane’s Operations team may ask for further documentation. Once reviewed, a salary change letter will be issued, and the reduction will take effect after the employee signs and acknowledges the letter.

When will the compensation change be applied to payroll?

This depends on whether the request is approved before the payroll approval deadline, displayed at the top of the dialog box. Pay periods that have already started to process or have been paid can no longer be changed.

The change will always be applied to the next available pay period. If you miss the approval deadline or choose to back-date a compensation change, the next available paycheck will include the appropriate retroactive pay.

What happens when you choose your own date in the middle of a pay period?

If the compensation changes in the middle of a pay period, regular earnings will be calculated based on the number of days worked at each pay rate.
