How to run off-cycle payroll

Understand how and when to use the off-cycle payroll feature.

Introduction

An off-cycle payroll is an option that allows you to schedule payments outside of the recurring payroll period. This is available for contractors who have already been added to the unified payroll with a pay schedule and compensation data.

How does it work?

To schedule an off-cycle payment for one or more contractors:

1. From the Plane dashboard, select Run Payroll under the Payroll menu.

2. Click Off-Cycle Payroll at the right of the page.

3. Select the pay period and the pay date based on your specific needs.

💡 Please note: The earliest available pay date may not be as soon as you would like it to be, as this is based on the number of days it takes to send a payment. The turnaround time for processing payments is 4 business days. As such, the first available payment date is typically the fourth business day from the present day.

4. After selecting the pay period and payment date, add your contractors to the off-cycle payroll using a drop-down menu. Keep in mind that the contractors must be added to a payroll before they appear on this list.

5. Click Continue and then go to the Run Payroll tab, where you will see the new off-cycle payroll.

6. It will be saved as a Draft payroll, which allows you to edit before you approve it.

7. Click Edit to add specific hours worked, reimbursements, or any notes related to the worker's payroll. Then save the changes, review, and Approve the payroll to ensure it does not become Overdue.

💡 Please note: An overdue payroll typically happens when a draft payroll has not been approved and the cut-off date has passed.

8. After approval, the payroll will show a Pending status. You can still edit it before the cut-off date has passed and it changes to Processing.

💡 Please note: In the example above, the pay date is September 20th, so all changes must be made by September 16th before the approval deadline. This deadline will be displayed in your local time zone. Once it begins processing, no further changes can be made.
