To initiate a Business Visa or Invitation Letter request, admins should follow the steps below.
1. Initial Contact
Please contact support@plane.com at least 30 days prior to the planned business travel. Certain countries or situations may require additional lead time, including but not limited to the United States, the United Kingdom, and Schengen countries. We recommend initiating requests as early as possible.
Your request should include the following information:
Traveler Details
Citizenship Country
Residence Country
Country of Employment
Job Title
Industry, e.g., Tech, Financial services, etc.
Trip Details
Origin: Country of Departure
Destination
Trip Start Date
Trip End Date
Purpose of Travel, e.g., attending internal meetings or training sessions
Address where business activities will take place
City where the applicant prefers to visit the embassy.
Processing times can vary by location, and applicants may review appointment availability directly on the embassy websiteAny additional information you would like to share with the visa team

2. Assessment and Guidance
Once the completed intake information is received, the visa team will assess whether a visa is required. Estimated processing timelines will be provided within approximately two business days. More complex cases may require additional time.
If corporate documentation is required, the visa team will coordinate with our immigration partner. Additional fees may apply in these cases.
3. Service Initiation
Plane will work directly with the organization's admin or employee to collect all required documentation.
4. Completion
Upon successful visa issuance, Plane will notify the organization's admin or employee.
Frequently Asked Questions
Why do I need to give 30 days’ notice?
Different countries will have different requirements; for example, some countries may require stamp & wet signatures, which will significantly affect the processing time. Advanced notice ensures we can assist in a timely manner.
What if I give less than 30 days' notice?
We will still accept the request, and we will be able to assess after two business days what the delivery timeline will be.
What if I need the letter urgently?
Please provide all necessary and correct information as soon as possible and advise us of the reason for the urgency. Having additional information and context can help us prioritize the request appropriately.
The employee wants to stay for a few days before or after the arranged trip; these days are not work-related. Can you add those dates to the letter?
Yes, we can include additional travel dates and advise that they are for tourism purposes.
The visa application needs an invitation letter explaining the reason for the visit, in addition to the business visa letter. Can you also provide that?
These letters can be provided in some instances; however, your US entity can also provide them, even if the meeting is outside the US, as you are the party who is organizing the meeting.
